    JOB SUMMARY:

    Within the context of a client and family centred care model and in accordance with established vision and values of the organization, the department of Clinical Education and the Regional Internal Clinical Education Programs, the Assistant provides administrative support to the Regional Manager, Clinical Education and the Regional Educators in delivering quality output to meet operational needs. The Assistant performs a variety of administrative and analytical program support functions including maintaining database information, preparing program statistical information and reports, supporting skills labs and simulations, ordering and maintaining supplies and equipment, program scheduling and liaising with payroll and timekeeping. The Assistant screens and prioritizes incoming materials for the internal clinical education programs and creates various weekly schedules and reports, utilizing advanced proficiency with word processing, spreadsheet and database applications (Word, Excel, Access, Visio, and PowerPoint), editing web page content, manipulating various software applications (Moodle, Blackboard) and maintaining on-line registration system and reference materials. The Assistant uses strong organizational skills to balance competing demands and meet deadlines, responds to internal and external program inquiries in a timely manner and refers outstanding questions/concerns to other team members as appropriate.

    QUALIFICATIONS:

    Education & Experience

    • Grade 12.
    • Graduation from a recognized secretarial program supplemented by courses in accounting, project management, office administration, business or related discipline.
    • Two years recent, related experience in administrative and secretarial operations in a complex office environment and proficiency in office software (such as Word, Excel, PowerPoint) or an equivalent combination of education, training and experience.


    Knowledge & Abilities

    • Ability to type at 60 wpm.
    • Knowledge of medical terminology
    • Ability to communicate effectively both verbally and in writing.
    • Ability to deal with others effectively.
    • Ability to organize work.
    • Ability to operate related equipment.
    • Ability to work with minimal supervision and to maintain continuity despite frequent interruptions.
    • Ability to recognize and respect the confidential nature of department information.
    • Physical ability to carry out the duties of the position.
