Reporting to the Manager of Talent Acquisition, the Senior Talent Acquisition & Onboarding Systems Analyst applies system solutions for Talent Acquisition & Onboarding business requirements through configuration, deployment, and maintenance of Applicant Tracking System (ATS), Onboarding, and integrated Human Capital Management (HCM) applications. The role’s primary responsibility will be to support the Applicant Tracking System (iCIMS recruiting and onboarding), the external and internal career sites functionality with a focus on enhancing the user experience of the applicant related systems and furthering VCH’s ability to effectively attract and retain a diverse workforce. Interacts with Functional Business Teams, Vendors, and IT members supporting systems application as well as other systems integrated with ATS. Works closely with the Talent Acquisition teams, hiring managers, and other internal and external partners to provide support for day-to-day technical administration of the ATS and Onboarding system. This position is also responsible for assisting subject matter experts with gap analysis, process definition, systems enhancements and provides a high level of service for break-fix incidents and requests. Reviews and recommends changes to system configurations and supports the creation and delivery of relevant communications and end-user system training.

 

This role will also oversee the day-to-day activities of the Talent Acquisition Representative (TA) by supervising, coaching, and ensuring best practices for reporting processes, including supporting quality improvement and quality assurance initiatives and related projects. The Senior TA Onboarding Systems Analyst is responsible for acting as a resource to Talent Acquisition and Onboarding teams for any systems related queries. THey will lead systems related projects including process improvement, system optimization, collaborate with RPA and Data Scientist teams to implement automation, work with BC Health Workday Project team, stay informed on emerging technologies and system enhancements relevant to ATS platform; proactively evaluating their potential impact and present recommendations to management for consideration.

 

This is a Hybrid Remote/In-office position.

 

As a Senior Talent Acquisition & Onboarding Systems Analyst, Applicant Tracking System with Vancouver Coastal Health you will:

  • Provide leadership and direction to designated team members using effective leadership techniques (e.g., skill and leadership development, performance management, coaching, mentoring, etc.), fostering a respectful and motivating environment where individual competencies can thrive.
  • Collaborate with the Manager and Director to establish the long term systems goals for the team and develop and initiate appropriate follow up activities; ensure that ongoing issues of concern are escalated.
  • Provide subject matter expertise for the talent acquisition technology ATS (iCIMS), Onboarding modules, candidate and end-user experience, as well as related talent acquisition programming and processes.
  • Coordinate and execute all ATS and user experience (UX) administration tasks including but not limited to workflow, communication and document templates, forms, talent gateways, questionnaires and automation.
  • Develop and perform annual, quarterly, monthly, and ad hoc reporting and system audit activities. Configure system to allow different user type access to certain reports and develop report templates for consistent and easy data pull.
  • Prepare training and support roll out of system implementation, adoption, evaluation, and updates for end-users. Support training of new talent acquisition staff on ATS best practices, develop and maintain related training materials.
  • Build new, or modify existing ATS workflows for talent acquisition and onboarding processes to provide a better candidate/applicant experience, as well as a more efficient internal system and hiring manager user experience.
  • With thorough understanding of business processes and the ability to design, configure, and deploy solutions to support them, act as a liaison with VCH Talent Acquisition, Onboarding, Functional Applications & Analytics, and Vendor partners (iCIMS) and IMIT Shared Services.
  • Develop functional specifications that integrate technology solutions with business processes and allow technical development resources to build custom solutions. Configure applications in multiple environments and perform system testing to ensure accuracy and effectiveness of proposed and implemented technology solutions.
  • Carry out responsibilities in accordance with health and safety requirements. Immediately report unsafe situations by notifying supervisor or other appropriate personnel.
  • Perform other related duties as assigned.

Qualifications

Education & Experience

  • Bachelor's degree in relevant field such as Business Administration, Computer Science, or Software Engineering supplemented with five (5) years of experience with systems expertise in human resource information/human capital management systems and Applicant Tracking Systems in a large complex organization or an equivalent combination of education, training, and experience.

Knowledge & Abilities

  • Demonstrated expertise in technology/software implementation, upgrades, system configuration, set-up, troubleshooting cross-module system issues as well as Human Resources functions and business processes
  • Demonstrated knowledge and experience of talent acquisition processes. Demonstrated experience with ATS and candidate relationship management systems
  • Demonstrated experience working with human capital management (HCM) systems such as Oracle, PeopleSoft, Workday, SAP or other similar HCM platform
  • Demonstrated experience advising on optimization of technology in regards to service delivery models
  • Strong customer service oriented disposition that ensures delivery of efficient, effective, quality driven service to internal customers
  • Proficiency with human resource information systems and metric analysis, MS Office programs (Excel, PowerPoint, Outlook, Word) and SharePoint
  • Outstanding listening and communication skills, collaboration and team building skills that facilitate coordination and cooperation with the demonstrated ability to coach team members
  • Demonstrated customer relations and problem solving abilities to coordinate a variety of complex and integrated services and initiatives to achieve desired results within critical timeframes
  • Demonstrated excellent communication skills, both verbally and in writing, with a variety of audiences internally and externally to the organization
  • Physical ability to perform the duties of the position
