The Project Coordinator is responsible for organizing, coordinating and communicating project activities under the direction of the Project Director and Project Manager. The Project Coordinator is responsible for the day-to-day management of the CST project deliverables. Provides the review, evaluation and maintenance of the project documentation, project management tools and executive reports for the project, allowing for proactive and effective risk management in collaboration with other team members. Creates, maintains, and tracks all project documentation to provide validation to ensure deliverables and objectives are met. Supports the Project Manager and Director Lead, and prepares and coordinates various contracts and other documents as required. Supports the team by ensuring the various internal and external stakeholders involved maintain a supportive and mutually beneficial working relationship.


About the The Clinical & Systems Transformation (CST) Project


The Clinical & Systems Transformation (CST) Project is one of the largest health care projects in British Columbia's history. It is a joint undertaking between Vancouver Coastal Health, the Provincial Health Services Authority and Providence Health Care to complete a significant transformation of clinical practices and systems. This is an exciting initiative that will deliver key benefits for our patients, health care providers and health organizations.


As a CST Project Coordinator with Vancouver Coastal Health you will:

  • Define, update and enforce project templates, standards, policies and tools, and provides support and training.
  • Create, maintain and track all project documentation including project plans, status reports, project schedules, project milestones, project responsibilities, contract logs, project issues, project risks, budgets and expenses, project organizational and communication charts.
  • Identify and understand key issues and risks related to the respective project through review and assessment of project team documentation.
  • Monitor, track and control the overall project schedule, scope, timelines and performance of all projects within the scope of CST, including health organization dependent and related projects to ensure projects on schedule and ensures the process for deliverables submission is completed for the timeline.
  • Highlight and alert Project Manager to issues and risks, and works with the other team members on a proactive basis to design and implement mitigation strategies.
  • Develop and coordinate project onboarding and off boarding procedures.
  • Track the deliverable review and acceptance processes and highlights issues and works with the Project Manager on mitigation strategies.
  • Prepare, coordinate and issue Requests For Proposal (RFP) and contract documents.
  • Respond to ad hoc requests for information and analysis by researching and gathering information required, manipulating database fields, preparing spreadsheets, reports and presentations as required to summarize information.
  • Coordinate project reporting requirements and gathers information from project team members.
  • Ensure overall coordination of meetings, and ensure all meetings are appropriately resourced with resources, equipment and information requirements to ensure meetings run smoothly.
  • Act as the central administrator of the project SharePoint sites and shared drives.
  • Provides administrative support as required.
  • Contribute to a positive and collaborative team environment by information sharing and team cooperation.
  • Perform other related duties as assigned.



Education & Experience

  • Bachelor’s degree (or equivalent) in Business Administration or in a field related to the specific project(s).
  • Three (3) years’ recent, related financial analysis and planning experience in a large, complex service organization or an equivalent combination of education, training and experience.
  • Experience in three distinct areas must be exhibited: financial analysis, project planning/management and technical expertise relating to the specific project(s).

Knowledge & Abilities

  • Adaptable, versatile, strong facilitation skills, strong administrative skills, strong organizational skills.
  • Demonstrated experience with project and process management.
  • Demonstrated excellent verbal and written communication, and with a variety of audiences.
  • Advanced word processing, graphical presentation and spreadsheet applications.
  • Ability to prepare professional presentations and reports.
  • Demonstrated ability to adapt to high-pressure environments, and adhere to critical timelines.

As per the current Public Health Orders (Long Term Care/Seniors Assisted Living Provincial Health Officer Order and the Health Sector Order), as of October 26, 2021, all employees working for Vancouver Coastal Health must be fully vaccinated for COVID-19.
