As an Administrative Assistant you will:

  • Provide administrative services and program support for Vancouver Home Hospital Palliative Care Service.
  • Act as a receptionist, create and maintain client records and Physician On Call schedule and organize and process palliative care services applications as well as the educational activities of the service.
  • Perform word processing and transcription duties such as:
    • arranging, attending and taking minutes of meetings,
    • maintaining and compiling statistics,
    • assisting with research and other special projects,
    • setting up and maintaining electronic and paper filing systems,
    • and receiving incoming/outgoing material.
  • Maintaining timekeeping records for team members and inventory of program supplies
  • Participate in various meetings, committees and other special projects and engage in on-going team planning, development, evaluation and quality improvement activities.
  • Process petty cash, cheque requisitions and invoices including maintaining a petty cash fund, submit building maintenance requests and contact appropriate staff for repairs to various office equipment.
  • Liaise and coordinate with the contracted agencies to support Shift Care.


Education & Experience

  • Grade 12 supplemented with an approved Medical Office Assistant/Secretarial program and three (3) years’ recent related experience, or an equivalent combination of education, training and experience.

Knowledge & Abilities

  • Knowledge of office practices and procedures.
  • Ability to work with marginalized people struggling with severe illnesses and chemical dependency.
  • Ability to keyboard at 50 wpm.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work independently and in cooperation with others.
  • Ability to plan, organize, and prioritize work.
  • Ability to analyse, problem solve and take initiative.
  • Ability to work with frequent interruptions and adapt to changes.
  • Ability to perform relevant calculations.
  • Ability to compile information.
  • Ability to operate related equipment.
  • Business writing skills.
  • Physical ability to perform the duties of the position.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.

As per the current Public Health Orders (Long Term Care/Seniors Assisted Living Provincial Health Officer Order and the Health Sector Order), as of October 26, 2021, all employees working for Vancouver Coastal Health must be fully vaccinated for COVID-19. Proof of vaccination status will be required.
