As an Office Coordinator/Administrative Assistant with Vancouver Coastal Health you will:

  • Oversee the efficient day-to-day functioning of the office and administrative support services.
  • Provide leadership, guidance and direction to clerical staff by coordinating work assignments for designated staff, hiring, training, completing performance appraisals and initiating disciplinary actions when required, coordinating and planning backfill support to clerical staff during vacation and sick leave and calling in relief staff as needed.
  • Coordinate the flow of information through the department, and provide administrative support by prioritizing items and issues as they arise for the attention of the Director, ensuring accurate and timely delivery of administrative services, following up on issues requiring action, and establishing and maintaining office efficiency.
  • Communicate and liaise with managers and with other internal and external stakeholders/clients to address and facilitate administrative/operational issues and resolve problems.
  • Interact with consultants, contractors, user groups for the purposes of sharing information and following up on requests.

Qualifications

Education & Experience

  • Grade 12.
  • Completion of a recognized program/courses in business administration.
  • A minimum of four (4) years’ recent, related experience including a minimum of one (1) year supervisory experience in progressively more responsible office management positions or an equivalent combination of education, training and experience.

Knowledge & Abilities

  • Demonstrated supervisory skill to lead, coach and mentor team members.
  • Comprehensive knowledge of related collective agreements.
  • Broad knowledge of accounting and budgeting principles and practices, and purchasing procedures.
  • Exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.
  • Liaises in a professional and courteous manner with clients, consultants, staff and the public to gather and disseminate information.
  • Communicates in a compelling, clear and understandable manner both verbally and in writing.
  • Applies excellent time management skills to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to organizational success.
  • Practices care and thoroughness when maintaining, monitoring, calculating and summarizing data, records and budget information.
  • Collaborates with peers and provides direction and guidance to designated staff to ensure administrative systems and processes are consistently followed and monitored for effectiveness. Ensures gaps are addressed and resolved when identified.
  • Employs expertise in the use of computer applications to create a variety of documents, graphics and presentations.
