As a Health Protection Assistant, you will:

  • Provide a variety of administrative support to Public Health programs/teams by performing duties such as downloading and processing reports, maintaining a variety of program-specific databases, program files and generating statistics.
  • Coordinate, arrange and attend program workshops and meetings, to record minutes, takes follow-up actions, prepares and processes invoices, and makes travel arrangements.
  • Perform other administrative functions such as;
    • operating the switchboard,
    • conducting internet-based research,
    • developing resource displays,
    • prioritizing incoming materials,
    • answering questions and providing information to the public on current programs, as well as composing correspondence,
    • developing reports and spreadsheets,
    • ordering supplies, and updating the information on the departmental website according to established procedures.
  • Answer general inquiries related to programs.

Qualifications

 

Education & Experience

  • Grade 12, graduation from an Office Administration program supplemented by two (2) year’s recent, related experience in a complex health care environment or an equivalent combination of education, training and experience.

Knowledge, Skills & Abilities

  • Knowledge of office practices and procedures.
  • Knowledge and proficiency in relevant and current software. (Microsoft Office programs i.e. Word, Excel, graphic applications, as well as various database applications such as PARIS and HedgeHog).
  • Ability to keyboard 6,000 keystrokes per hour.
  • Ability to type 50 w.p.m.
  • Medical Terminology.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work independently and effectively with others.
  • Ability to be sensitive, tactful and diplomatic with clients and the public.
  • Ability to organize and prioritize work.
  • Ability to compile information.
  • Ability to perform relevant calculations.
  • Ability to operate related equipment.
  • Physical ability to carry out the duties of the position.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.

As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks. For all new hires and appointments to Vancouver Coastal Health, you will be asked to provide this information as part of the onboarding process.
