This is a Hybrid Remote/In-office position.

 

As an Administrative Coordinator, Internal Audit, Enterprise Risk, and Corporate Governance with Vancouver Coastal Health you will:

  • Report to the Chief Assurance and Corporate Governance Officer (CACGO) and provide confidential administrative assistance to the leadership and team members of the Internal Audit, Enterprise Risk, and Corporate Governance (IEC) team for First Nations Health Authority (FNHA), Northern Health (NHA), Providence Health Care (PHC), and Vancouver Coastal Health (VCH).
  • Prepare board packages including tracking IEC deliverables, package timelines, and coordinate submission of board packages.
  • Be responsible for supporting the report finalization process including editing, formatting, and managing executive consultations.
  • Triage information of a sensitive and confidential nature, coordinate the flow of information, ensure accurate and timely delivery of administrative services, and keep leadership apprised of issues and activities.
  • Interact primarily with senior leadership and their administrative support staff throughout the health authorities to professionally represent IEC using strong communication abilities.
  • Oversee administrative procedures internally for the IEC team and, support the department’s project management of various engagements.
  • Work independently and communicate with internal and external partners/customers in a manner that promotes positive and respectful relationships.
  • Lead and drive internal improvement projects as directed.

Qualifications

Education & Experience

  • Graduation from a post-secondary program or administrative assistant program.
  • Three (3) to five (3-5) years’ progressive experience supporting senior level management or an equivalent combination of education, training and experience.
  • Must have intermediate to advanced word processing, spreadsheet, presentation, desktop publishing, and organizational skills.

Knowledge & Abilities

  • Exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.
  • Develops and maintains strong relationships with key internal and external partners to promote and enhance services provided with sensitivity to diversity and indigenous lens.
  • Practices the recognition, inclusion and support of all types and aspects of diversity at all stages of engagement, with an understanding of the issues faced by people from equity-deserving groups.
  • Ability to multitask and utilize superior organizational skills in navigating complex environments to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to departmental success.
  • Liaises in a professional and courteous manner with managers/directors, staff and the public to gather and disseminate information.
  • Communicates in a compelling, clear and understandable manner (both verbally and in writing) in order to represent the department’s interests and assist in report writing. Strong attention to detail and grammar.
  • Broad knowledge and understanding of project/process management practices and project tracking.
  • Practices care and thoroughness when maintaining, monitoring, calculating and summarizing data, records and budget information.
  • Collaborates with peers to ensure administrative systems and processes are consistently followed and monitored for effectiveness and that gaps are addressed and resolved when identified.
  • Employs expertise in the use of current, intermediate to advanced computer applications to create a variety of documents, briefing notes, spreadsheet reports and presentations.
  • Physical ability to perform the duties of the position.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.

As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks.
