Job Summary

Come work as a Project Coordinator, HAMAC with Vancouver Coastal Health (VCH)!

 

Reporting to the Health Authority Medical Advisory Committee (HAMAC) Project Manager, the Project Coordinator provides analytical expertise, technical review, scheduling support, evaluation and maintenance of  project documentation, and routine report drafting for their specific Vancouver Coastal Health (VCH) projects. Performs analysis on data sets and documentation of the project(s) initiated by the organization to provide validation to ensure organization-wide and committee objectives are met. Supports VCH by ensuring the various internal and external stakeholders involved maintain a supportive and mutually beneficial working relationship. Works in collaboration with both the project team, medical leader end-users and respective internal VCH department(s) on governance projects as assigned.

 

As a Project Coordinator, HAMAC with Vancouver Coastal Health you will:

  • Identify and understand key issues relating to the respective project(s) through review and assessment of project team documentation. Under guidance from the project manager, assess, perform environmental scans and compile current state documentation from a variety of sources to inform project(s) direction.
  • Conduct data analysis by utilizing a variety of data manipulation and management techniques by compiling information, analyzing and interpreting the data and reporting on the findings.
  • Draft routine briefing notes, reports and communications for an executive audience and submissions to the VCH Board.
  • Respond to routine and ad hoc requests for information and analysis by researching and gathering information required, manipulating database fields, preparing spreadsheets, tables, charts, graphs, reports and presentations as required to summarize information.
  • Act as the first point of contact for all HAMAC inquiries and scheduling requests.
  • Provide administrative support for the respective project(s) and committee work in a timely, efficient way , including: meeting coordination, timekeeping, budget reporting, agenda creation, meeting minutes, and preparing meeting packages for HAMAC members prior to every meeting.
  • Be responsible for maintaining committee and assigned project(s) records and documentation repository.
  • Perform other related duties as assigned.

Qualifications

Education & Experience

  • Bachelor’s degree (or equivalent) in Business Administration or in a field related to the specific project(s).
  • A minimum of three (3) years’ recent, related project and planning experience in a large, complex health service organization or an equivalent combination of education, training and experience.

Knowledge & Abilities

  • Comprehensive technical expertise, project/process management, analytical skills and business acumen.
  • Effectively and accurately responds to the needs of committee members, project teams and stakeholders and is acutely aware of the impact of decisions and actions on the organization and various stakeholders.
  • Strong verbal and written communication as well as facilitation skills to work effectively in a team setting and with a variety of stakeholders.
  • Ability to draft briefing notes, presentations and reports for an executive audience.
  • Demonstrated ability to anticipate need and action accordingly.
  • Ability to identify issues, and to develop and analyze solutions to resolve problems.
  • Demonstrated knowledge of current advanced word processing, graphics presentation, and spreadsheet computer applications to prepare reports and presentations.
  • Results-oriented within a high-pressure, fast-paced working environment with numerous critical timelines.
  • Experience working directly with medical staff (physicians, nurse practitioners, midwives and dentists) considered an asset.
  • Physical ability to perform the duties of the position.
